SUMMARY
Prepare to have many hats (and perhaps a cape), as we seek a charismatic leader to orchestrate our operations with flair, precision and tons of charm.
This role is the heartbeat of our operation! a key role within the business, this role will take responsibility and oversight of the Operations functions. Working with internal and external Warranty/Logistics/Supply Chain, Inventory and customer service functions to ensure seamless delivery and outstanding customer satisfaction. Remote work is cool but must have the ability to travel and attend customer site / warehouse / staff meetings and tradeshows when necessary.
DESCRIPTION OF KEY TASKS AND RESPONSIBILITIES
What you will be doing
Customer Service Responsibilities to include;
- Lead project communications, keeping sales teams and stakeholders in the loop with updates on orders and delivery schedules
- Juggle project updates, delivery timelines, and the occasional curveball with grace and precision
- Ensure all RAMS (Risk Assessment Method Statements, if you please) are impeccably prepped ahead of deliveries
- Handle inquiries—urgent, routine, or quirky—with charm and the speed of a caffeinated gazelle, ensuring service agreements are met
- Maintain accurate records, including serial numbers and project documentation
- Keep service software systems updated and extract actionable reports for meetings
- Champion a seamless digital aftersales strategy to keep our customers smiling and coming back for more
- Take overall responsibility for product installations, liaising directly with customers, internal teams, and subcontractors to ensure smooth delivery and execution
- Be the chief point of contact for subcontractors and ensure flawless project sign-offs
- Wow the crowd by coordinating between departments, customers, and stakeholders to deliver an exceptional experience
- Ensure all service packages deliver on the promises to customers and to internal goals
Operational Responsibilities to include;
- Create and report on Operational OKR’s - Objectives and key results to reach the company goal of Operational Excellence and to be described by customers as the absolute best at delivering promises
- Lead the charge on operational brilliance—streamline processes, improve OKRs, and ensure everyone is on the same page
- Take charge of the world of supply chain logistics—imports, exports, and warehouses—keeping all the moving parts in perfect harmony, while liaising with teams, suppliers, and warehouses to ensure everything arrives on time (and not half way to Narnia)
- Oversee QA, health and safety, compliance, and a dash of sustainability—because doing things properly never goes out of style
- Mobilize a site survey strategy, making sure we’re ahead of the game.
- Ringmaster of Installations. Take charge of all deliveries and installations from start to glorious finish—liaising with customers, internal teams, subcontractors, and everyone in between to ensure a flawless show
Others
- Other adhoc duties to cover staff holiday and absence
- Support the founders of the company with bookings, registrations, and other business support administrative duties
QUALIFICATIONS
- Experienced user of SAP and CRM is desirable.
- Good knowledge and experience in using Microsoft Excel, Word and/or Google Sheets and Google Docs equivalents
- Bonus points for a Technical background, ideally in the fitness industry. Extra flex points :)
EXPERIENCE & SKILLS
The ideal candidate must show excellent of written and verbal communication skills, have Sherlock-level problem-solving skills, have strong analytic and problem solving skills to sufficiently address issues and solutions, even if the resolutions aren’t immediately obvious.
A strong track record in a similar fast paced operations role.
Flexibility is your middle name – organise, manage, and dazzle in the world of a remote team, scattered across the UK and beyond. The person should have a flexible approach to work and have the ability to organise and methodically manage a busy workload, updating systems, customers and teams. The ability to work both solely and as part of a team is key especially as the team works remotely and at different locations across the UK. Suppliers are located in different countries, flexibility to work outside own time zone on occasions is a must.
